Six-digit record control numbers identify record groups and record series summarized in the Descriptive Inventory. Control numbers ending in triple zeroes refer to record groups. Administrative histories describe record groups and these histories are indexed. Consequently when a control number ending in triple zeroes appears under a subject descriptor, that descriptor has been assigned the administrative history of a record group and not any specific body of records per se. Control numbers not ending in triple zeroes identify record series which have been assigned particular descriptors. Record series are actual discrete bodies of archival records housed in the Archives Building. For example, 901.000 refers to record group Supreme Court of Illinois, while 901.001 references the record series Case Files of the Supreme Court.

In all there are 3,931 subject descriptors. Due to database design subject terms are limited to 35 characters and period marks are not printed. A single descriptor could be assigned to a maximum of 150 records. In 28 instances this number was insufficient. To override this limitation the numeral 1 was added to these terms. This was the case for the following terms.
